Track Backorders

The entrée invoicing system can optionally track each item that was shorted on a customer's order and maintains it as a back ordered item. An item is considered to be back ordered when the quantity shipped is less than the quantity ordered.

 

When a new invoice or sales order is created for a customer that has back order items, the invoicing window will be placed in the Back order edit mode and each of the back ordered items will be displayed in the line item grid. This is to inform the user that the customer has back order items to be processed.

 

If needed back order items may be purged using the Purge Back orders utility.

If a customer has pending back order items you will automatically be placed into the "Backorder" edit mode when creating a new invoice for that customer.

 

The only way to remove a back order item is to fill the back order or delete the item from the back order edit mode of the entrée invoicing system.

 

The Back order report is a useful tool for seeing all of the items that are on back order.

 

 

Even if the back order feature is not enabled product shortages may still be analyzed by running a Customer Shortage Report. The shortage report includes a very enlightening column titled Sales Lost $, which displays the total dollars in sales lost by not having enough product to fill all of the orders.

 

 

Backorder System Features Updated in version 4.0.29

The operation of the Backorder system has been updated so that the process of filling a back order will validate Unit Price edits using the original Base Cost and Minimum Selling Price of the item rather than current values.

 

The system now “remembers” when a line item was created to fill a back order and continues to apply these limits on future edits of this line item.

 

The process of filling a back order has been adjusted so that the original Base Cost is only used in validating edits of the Unit Price of the fill item while the item's current Base Cost is used as the working cost.

 

Note that some of these changes (e.g., saving the Minimum Selling Price) will only affect back orders created by release 4.0.29 or later.
