Over time the entrée system can accumulate quite a bit of data. Although it is usually not required to purge any of the historical data, some distributors prefer to perform clean up on the data files from time to time.

 

This section will review the Customer data purging utilities in the entrée system.

 

Purge Potential Customers

NECS strongly recommends all users are out of the entrée system, when this utility is run. This will ensure the data integrity is not compromised by another user, accessing one or more of the data files while the operation is being performed.

 

In Customer File Maintenance "Potential Customer" designation is only available for customers with a blank "Last Sale Date". Creating an invoice for a "Potential Customer" will automatically remove the "potential" setting.

 

1.Go to the Customer ribbon menu.

 

2.In the Customer Utilities section of the ribbon select the Purge Data drop down menu.

 

3.Select Potential Customers.

 

4.Enter the purge date the file should be purged to in the Purge Date field.

Use the drop down arrow to open the calendar and select a Purge Date.

 

 

All entries in the potential customer file up to and including the date entered in the field will be removed.

 

5.  Click OK to continue with the purge.

 

6.   A Confirm dialog will display "Ready to purge potential customers up to 'date selected' Are you sure?" Click Yes to continue or No to cancel the purge.

 

7.When the purge utility has completed a Purge Complete dialog box will be displayed informing the user how many, if any, records were purged. Click OK to close.
